Crafting the Perfect Wedding Invitation:

Key Details Your Guests Need to Know

Your wedding invitations set the tone for your big day. Whether you choose a classic design with calligraphy, e-invites or a wedding website, your invitations should convey key details so your guests know what to expect at your wedding. 

If you want to add a personal touch to your invitations, add a glimpse into your love story or wedding theme by adding a photo, sketch of your venue or colourful designs. However, the logistics are equally important to share so you don’t get hundreds of emails from your guests asking you the same questions. 

Use this checklist when designing your invitations to ensure your guests have all the key information they need:

Venue Details and Accommodations

Showcase your venue with a photo or illustration if you want to add a nice visual. Also list the venue name, address, and if it offers accommodation. If you have room blocks reserved at nearby hotels, include this pricing and reservation information so guests can book early. If you are having a wedding website you can add these clickable links so it’s faster for guests to book. 

Parking and Accessibility

Explain parking options at the venue for guests' convenience. Note if there are stairs, grassy areas, or other access considerations. Offer to make accommodations for elderly relatives or guests with disabilities

Local Transportation

Provide phone numbers and websites for local taxi services, rental car agencies, and other transport options near your venue like the local train station name and roughly the prices of taxis to your venue. Out-of-town guests will appreciate the insider tip on getting around.

Gift Registry and Contributions

Be gracious if you are going to include any gift registry details or links to for donations. You can also welcome guests to donate to your favourite charity instead of physical gifts. Whatever you choose, make sure you add links to websites or explain how your guests can donate to your honeymoon pot or charity organisation.

Kids or Adults Only?

Let guests know if your celebration is adults only or if you are welcoming children to attend. This allows parents to plan accordingly with babysitters or you can arrange for a creche at your wedding.

Menu Details

Give an overview of the menu, including the food options, explain how guests can let you know if they have any dietary requirements and when they need to choose their menu options.

Attire and Dress Code

Share your suggested attire if you have one so your guests know what to wear. If you are envisioning an overall colour scheme or want a formal black tie wedding, add this information into your invites.

Event Schedule

Provide start times for the ceremony, cocktail hour, reception, after party, and any other celebrations you will be hosting. This is so guests can schedule their arrival times accordingly.

RSVP Deadline

Set a clear RSVP deadline, around 3-4 weeks before the wedding, and indicate how to respond. Make this step easy to follow so guests don’t miss your deadline!
